We need not explain how important virus scanning your emails is *before* opening them. Viruses such as MyDoom are proof enough that without evolving virus scanning systems - such as that used across USP Networks - anything can and will happen. USP's latest server-based virus scanning uses a user-configurable combination of whitelist, blacklist and pattern matching, and features a web interface with quarantine zones that allow users to review the contents of their mailboxes for a period AFTER delivery in order to post-tag spam, or release suspect items unfairly quarantined.
     
Combating the Virus Menace.
1st, Some Dont's:


If at all possible, never open attachments to email.

Certainly never open attachments to email from sources you do not recognise.

Although files attachments may have an apparently innocent filename extension (.txt is document format that cannot carry a macro virus, for example) these files can be easily renamed by malicious senders.

Only ever SAVE email attachments to a local disk drive - even from a source that you trust - and make certain that a virus scanner clears them before you open them. Although that still does not guarantee safety, since someone always has to be the first victim of a new virus strain before the virus checker references are updated.

Now, Some Do's
Use plain text email in preference to "rich" or HTML email.
Encourage those who send mail you to do the same.
 
 
Email Forwarding £10.00 pa (free at moment of domain registration)
Email forwarding is a very useful feature which allows you to have unlimited email addresses at your domain. For example sales@yourname.co.uk, info@yourname.co.uk etc. All mail received at these addresses will be automatically forwarded to a SINGLE existing email address e.g. ben423@hotmail.com. This forwarding account MUST exist, otherwise mail will be bounced from the destination system, and can create "loops" which compromise performance for all users. Likewise when we forward spam sent to the mail account, our systems may be identified as part of the spam delivery chain - so we reserve the right to cease service on any account that has become - for whatever reason - the target for excessive spam. To combat this problem, we offer a powerful server-based antispam service for £3/box/month that has a web interface and quarantine zones with individually adjustable thresholds and rules.

This feature can make your email address look far more professional. For example info@hedstone.co.uk looks far better than info@hedst3425.freeserve.co.uk
 
POP3 Mailbox Account 10Mb = £25pa, 50Mb = £50pa
POP3 stands for Post Office Protocol (version 3), comprised of transit mailboxes for email systems so that a user can retrieve and download email to local mail clients (Outlook etc) from a central location where the email waits for delivery. POP3 accounts allow users to have mailboxes on a server with their domain name. This means that if you own the domain name yourdomain.com, you can receive email and send from bob@yourdomain.com. Although USP provides a send (SMTP) outbound gateway for all users an increasing number of ISPs will not permit their users to access SMTP servers outside their immediate network. In which case you will need to use the SMTP service provided by your ISP.
 
Password Protected Maildrop Account 10Mb=£25pa, 50Mb=£50pa
In view of the problems of managing spam, you might like to consider setting up a POP3 mailbox specifically for you/your customers/friends to use as a simple password protected bulletin board. This address can (and should) be kept confidential and never posted in a public place - or the spammers will inevitably find it. And if they do, you can request a new address and cancel the "compromised" address.

Our email system is designed for speed and versatility - the number of combinations of forwarding options and aliases we offer is unique. It is not intended for use as an offsite backup, and we will remove all mail that is older than 60days to maintain performance. If you use multiple email accounts and identities, it can be useful to have a "filing address" (eg bcc@somedomain.com) - so when sending email away from your usual email account - for example from a web cafe on holiday - you can copy any messages to your filing account. If you don't trust your corporate email system, then you (and anyone else you nominate) can also use this type of filing account for taking copies or backups of important messages. Again, NEVER publish this address in public!
 
Webmail Interface free with POP3, maildrop & filing accounts
Your USP POP3 mail boxes can be read and managed through the optional webmail interface (including attachment management). This means that you can access the mail from any suitable web browser. This process does not affect the ability to subsequently download and read the mail from your usual off-line POP3 mail client (Outlook etc). Please note that mailbox sizes are strictly limited in the interests of maintaining performance and that you should not treat "transit" mailboxes as offline archiving.

In the 10 years USP has been offering a mail transit service, personal and business dependency on email has gone from zero to total. Users have been addicted to their email in ways that means that means that we are aware of any problems on the system within seconds of any appearing. Many users enjoy free forwarding service associated with domain name registration, and we recommend all users to take advantge of one of the free services from Google and others and "copy forward" all their inbound mail to Google mail for archive purposes: but please don't build your business and expectations around something that costs nothing. If your email has become mission critical then we will design and implement a bespoke service to meet your requirements.
